Privacy Policy

Haven Technology Solutions ("Haven Tech," "we," or "us") operates Hazel, an AI back-of-house assistant for residential builders and contractors. This Privacy Policy describes what information we collect, how we use it, and the choices you have. It applies to the Hazel web dashboard at hazel.haventechsolutions.com, the SMS/voice channel served from Hazel's business phone numbers, and the marketing site at hazel.build.
Who uses Hazel
Two classes of people interact with Hazel:
- Builders — residential general contractors, remodelers, and small construction firms who subscribe to Hazel to run their back office.
- Builder contacts — the subcontractors, vendors, and clients a builder adds to their address book so that Hazel can coordinate with them on projects via SMS, voice, or email on the builder's behalf.
Information we collect
Information builders provide
- Account information — name, email, phone number, company details (including EIN), billing information, communication preferences.
- Project information — project names, addresses, client contacts, budgets, schedules, change orders, invoices, and documents uploaded to Hazel.
- Contact roster — names, phone numbers, email addresses, and roles of the people on each builder's projects (subs, vendors, clients).
Information from builder contacts
- Message content — the text of SMS, email, and voice messages exchanged with Hazel in the course of coordinating a project.
- Phone metadata — caller phone number, carrier, and call/message timestamps provided by the SMS and voice platform.
Information we collect automatically
- Usage data — how the dashboard is used (pages viewed, actions taken). We use Google Analytics for aggregated traffic measurement on hazel.build.
- Technical data — IP address, browser type, and device information when you visit our web properties.
How we use your information
- Deliver the Hazel service — coordinating messages, tracking project state, drafting communications for builder approval, sending approved messages.
- Support — responding to builder questions, troubleshooting, account management.
- Product improvement — analyzing usage patterns to improve Hazel's behavior and reliability.
- Security and abuse prevention — detecting spam, fraud, and abuse of the SMS and voice channels.
- Legal and regulatory — complying with applicable laws and carrier requirements (including A2P 10DLC regulations for SMS).
How SMS consent works
Hazel sends SMS to a builder contact only after one of the following has occurred:
- The contact has texted Hazel's business number directly (user-initiated opt-in).
- The builder has added the contact to the builder's firm-scoped roster within the Hazel dashboard, confirming that the contact is an active party on an ongoing project with whom coordination by SMS is expected.
Contacts can opt out at any time by replying STOP, UNSUBSCRIBE, CANCEL, END, or QUIT to any SMS from Hazel. Replying HELP returns help information including how to contact support. Replying START re-subscribes a contact who has previously opted out.
Message frequency varies with project activity. Message and data rates may apply. Consent is not a condition of any purchase.
Who we share information with
We share information only with service providers who help us run Hazel. They receive only what is necessary to perform their role and are prohibited from using it for their own purposes.
- Cloud infrastructure — Supabase (PostgreSQL, object storage, authentication) and Digital Ocean (compute hosting).
- AI model provider — Anthropic (the Claude model that powers Hazel's reasoning). Message content is sent to Anthropic for inference only; it is not used to train public models.
- Telephony providers — Telnyx and ClawdTalk, for SMS and voice delivery.
- Email delivery — AgentMail (for inbound/outbound email to Hazel's own address), Google (for builders who connect their Gmail account so that Hazel can send approved emails on their behalf — only with their explicit OAuth consent, as described below).
- Accounting integrations — Intuit / QuickBooks, for builders who connect their accounting account. Project financial data is accessed only for connected accounts and only with the builder's explicit OAuth consent.
- Analytics — Google Analytics on the marketing site (hazel.build) for aggregated traffic measurement. The Hazel dashboard itself does not use third-party analytics that read user content.
We do not sell personal information. We may disclose information when required by law (subpoena, court order) or to protect the rights, safety, and property of Haven Tech or others.
Gmail integration
If you choose to connect your Gmail account to Hazel, the following specific terms apply.
What we access. Hazel requests permission to compose and send email from your Gmail account. We do not request permission to read your inbox, access your sent mail history, or monitor incoming messages. We access only what is necessary to send emails you have individually reviewed and approved through the Hazel dashboard.
How Gmail data is used. Gmail data is used solely to deliver emails you have explicitly approved within Hazel. It is not used for any secondary purpose, including training AI models, building user profiles, or serving advertisements. We do not use Gmail data to serve you ads, and we do not allow humans to read your Gmail data except as described in the security section below or as required by law.
No sharing or sale. We do not share, sell, transfer, or disclose Gmail data to any third party, except as required to deliver the email you approved (i.e., transmission through Google's own infrastructure) or as required by law.
Limited Use. Hazel's use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
Disconnecting Gmail. You may disconnect your Gmail account at any time from the Hazel dashboard. Upon disconnection, we delete your Gmail OAuth tokens from our systems within 30 days. Disconnecting does not affect project data already logged in Hazel.
Data retention
We retain account and project data for as long as a builder's account is active, plus a reasonable period thereafter for business-continuity, dispute resolution, and legal-compliance purposes. Opt-out records for SMS contacts are retained indefinitely to honor future unsubscribe requests. Builders can request deletion of specific project data at any time by contacting support.
Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict the use of personal information we hold about you. Contacts who have received SMS from Hazel can always opt out by replying STOP. To exercise other rights, contact us at support@haventechsolutions.com.
Security
We use reasonable technical and administrative safeguards to protect personal information, including encryption in transit, scoped database permissions, and access controls. OAuth tokens are stored encrypted at rest. We do not store Gmail passwords or credentials. Human access to user data, including Gmail data, is restricted to: (a) employees who need access to resolve a specific support request you have submitted, (b) personnel investigating a security incident, or (c) situations required by law. No system is perfectly secure; we report material incidents to affected users and regulators as required by law.
Children's privacy
Hazel is not directed at children under 13, and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page and, for significant changes affecting how we handle data, by notifying builders through the Hazel dashboard.
